How to set up a Driver card

September 29, 2026 Jan

The FuelaFleet “PRO” and “ENTERPRISE” programs allow for an unlimited number of drivers.

Only an Admin or Team Manager can create a driver card or import drivers.

Drivers cannot view or edit their own profiles. A driver can log in to the application once an Admin or Team Manager grants access using the “Enable” button on the driver card. To log in, the driver uses the email address stored in their profile and the password created by the Admin or Team Manager. Drivers can change their passwords. Granting access activates the driver profile, setting its status to “Active.” Upon the first login, the driver must accept the Terms of Service and consent to using the application. Drivers do not receive a notification when access is created; the email and password to be used must be communicated to them securely.

Note: A driver switched to “Inactive” status (e.g., due to illness or vacation) retains access to the application. Switching a driver to “Archived” status automatically revokes their access. The same situation occurs when you click “Revoke” button on the driver card. You will see the message “Driver archived successfully. Their login access has been revoked, but their history is saved.” To restore access, an Admin or Manager must create new access credentials and a new password for them.

To grant a driver access, you must have their email address saved!

Important:

You can enter any email address in the driver’s profile. If you click “Grant access” to create a login for a specific driver, the application checks whether the email address is already in the user database. If it is, the action is immediately blocked and an error is reported because the email address already exists in the system.

Error messages you can see: “This email is already in use (possibly at a different company). The previous employer must “Revoke” their access first, or you must use a different email address.” or “This email address is already associated with another account in the app. Please use a different email address.”

You can easily resolve this issue by clicking “Edit” for the driver and changing the email address. A driver or other user cannot use the same email address for more than one company.

Identification number (ID):

As soon as a driver card is created, the application assigns it an identification number (ID). You can find this ID in the top-left corner of the driver card. This number enables the automatic linking of the driver to vehicles, loads, and trips, ensures the correct assignment of items during CSV imports, and so on.
